Privacy Policy — Private Beta

Effective date: October 6, 2026.

Current beta architecture: BidPilot AI is a browser-based private beta. Company-profile, saved-opportunity, and reusable-content data are stored in the user's browser using local browser storage. BidPilot does not currently provide an account-based encrypted cloud document vault.

1. Information handled by the beta

The application can process information that a user chooses to enter, paste, or upload, including company-profile details, solicitation/RFP text, compliance notes, saved opportunity data, and reusable proposal content.

2. Local browser storage

In the current beta, working records are stored locally in the browser profile on the device being used. Local browser storage can be cleared by the user, browser settings, private-browsing behavior, device cleanup, or organizational policy. BidPilot does not promise backup or recovery of locally stored data.

3. PDF processing dependency

When PDF import is used, the beta loads the PDF.js reader from the public cdnjs content-delivery network. This requires an internet connection. Users should not upload confidential, classified, export-controlled, regulated, or otherwise highly sensitive documents to the beta.

4. Hosting and technical data

The site is hosted by a third-party hosting provider. Like ordinary websites, hosting and network providers may process technical request data needed to deliver the site. Their handling of such data is governed by their own terms and privacy practices.

5. How information is used

User-entered information is used to provide the requested BidPilot functions, such as opportunity analysis, requirement tracking, response drafting, and local saving. The current beta does not use customer proposal content for advertising.

6. Data sharing and sale

BidPilot does not sell customer proposal content or company-profile content for advertising. The current beta has no feature designed to share a user's locally stored proposal workspace with other customers.

7. Data retention and deletion

Local records remain in the browser until the user deletes them, clears site/browser storage, or the browser/device removes them. Users should keep their own copies of important records and should not rely on the beta as a system of record.

8. Security

BidPilot uses a limited browser-local architecture for the private beta, but it is not represented as enterprise-grade secure storage. No claim is made that the beta is certified under FedRAMP, CMMC, SOC 2, ISO 27001, HIPAA, or another security framework unless such certification is separately obtained and expressly stated.

9. Children

BidPilot is intended for business/professional use and is not directed to children.

10. Changes

This policy may be updated as the product architecture changes. Material changes should be reflected in a revised effective date.
